This Privacy Notice explains how KairosCV ("KairosCV", "we", "us", "our") collects, uses, shares, and protects personal data in connection with the KairosCV platform (the "Service") available at kairoscv.com. KairosCV acts as the data controller for the personal data described below.

• Account data — your name, email address, phone/WhatsApp number (used for subscription activation), hashed password or authentication identifiers.
• Resume & CV content — the professional information you create or upload, including work history, education, skills, contact details, cover letters, and job-application notes.
• Payment proof & subscription records — because activation is manual, we keep a record of your plan, payment method used (for example, Vodafone Cash or InstaPay), payment reference/screenshot you send us, and activation/renewal dates. We do not collect or store full card numbers, wallet PINs, or bank credentials.
• Support & WhatsApp communications — messages you send us for activation, support, or cancellation, and related metadata (timestamps, phone number).
• Usage & telemetry — pages viewed, features used, AI-credit consumption, timestamps, referring URLs, and diagnostic logs.
• Device & connection data — IP address, browser type, operating system, device identifiers.
• Cookies & referral tracking — see the Cookies section below, including referral-attribution cookies used to credit affiliates or promotional partners.

2. How we use personal data

• Provide the Service — create and manage your account, store your resume content, and deliver the AI features you request (resume building, ATS scoring, tailoring, interview prep).
• Manual billing & activation — verify payments you send us and activate or renew your Kairos Pro subscription, and send renewal reminders.
• Customer support — respond to WhatsApp and email requests, resolve technical issues, and process cancellations.
• Security & fraud prevention — detect abuse of AI credits, protect accounts, and secure our infrastructure.
• Product improvement — understand how KairosCV is used and improve features and AI prompts.
• Communications — send transactional messages (activation confirmations, renewal reminders, security notices) and, where you have opted in, product updates.
• Legal & compliance — meet legal obligations, enforce our Terms, and defend our rights.

3. Who we share personal data with (processors)

We share personal data only with service providers who help us run KairosCV, under appropriate confidentiality and data-protection terms:

• Hosting & infrastructure providers — cloud hosting, database, storage, and content-delivery providers that store and process the Service's data.
• AI providers — third-party generative AI model providers that process resume content and prompts solely to generate the AI outputs you request (for example, rewritten bullet points, tailored summaries, or ATS scores). We do not permit AI providers to use your data to train their general-purpose models where such controls are available to us.
• Email & messaging providers — transactional email delivery providers and WhatsApp, which we use to communicate activation confirmations, renewal reminders, and support responses.
• Professional advisers & authorities — lawyers, accountants, or auditors under confidentiality obligations, or authorities where required by law or legal process.
• Business transfers — in connection with a merger, acquisition, or reorganization of KairosCV, subject to equivalent data protections.

We do not sell your personal data, and we do not publicly display your resume content unless you explicitly choose to share it.

4. Data retention

We keep personal data only for as long as necessary to provide the Service, support renewal and support requests, resolve disputes, and comply with legal obligations. If you delete your account, we delete or anonymize your personal data within a reasonable period, except where we are required or permitted to retain limited records longer (for example, payment/activation records for accounting purposes).

5. Your rights

Depending on your location, you may have the right to access, correct, delete, restrict, or object to the processing of your personal data, and to receive a copy of it in a portable format. 6. Cookies & referral tracking

KairosCV uses essential cookies necessary to keep you signed in and to operate the Service, and, where enabled, analytics cookies to understand how the Service is used. We also use a short-lived referral cookie to record which affiliate or promotional link brought you to kairoscv.com, so that referral partners can be credited correctly if you subscribe. You can manage cookie preferences through your browser settings; disabling essential cookies may impair core functionality such as staying signed in.

7. Security

We use reasonable technical and organizational measures to protect personal data, including encryption in transit, access controls, and monitoring. No system is perfectly secure and we cannot guarantee absolute security, but we work to protect your data and to promptly investigate and address any incidents.

8. Children

KairosCV is not directed to children under 18, and we do not knowingly collect personal data from them. If we learn that we have collected personal data from a child without appropriate consent, we will delete it.
